Never Miss a Lead Again (Even After Hours)

You know when you’ve just finished working on your business and you’re heading out to the pub – but you’ve got this nagging feeling in the back of your mind?

You’re worried that a really important client call or a hot new lead might come in…

But there’s nobody in your business to pick it up!

So it rings, goes to a generic voicemail, and then you just hope that somebody remembers to follow up tomorrow.

But hope isn’t a good strategy, especially when you’re trying to juggle lots of clients, manage multiple projects, and actually have a life outside of work.

As a dad running a business, I know this feeling well (I like to go to the pub no matter what the health gurus on 𝕏 say).

You want to be present for your family while making sure the business doesn’t stall and your clients stay happy.

We need systems that work for us, even when we’re not actively working.

So, what if those out-of-hours calls didn’t just go to some random voicemail and get lost in the void?

Picture this instead (it’s a much better scenario):

  • A potential client calls your number after you’ve logged off.
  • Instead of just a voicemail, they’re guided to leave key details – maybe about an issue they have, or perhaps they’re a new lead eager to book you.
  • As soon as they hang up, a task is created inside your ClickUp with all the info, transcribed, and even auto-assigned to the right team member.

No more calls lost on someone’s personal mobile voicemail.

No more hoping the message gets passed on.

No more potential revenue slipping through the cracks.

This isn’t some crazy complex AI system (though those do exist).

It’s a smart, efficient bridge using tools you might already know, or that can be easily implemented (often with a bit of help 😉):

  1. ClickUp: Your central hub where all the work happens.
  2. Twilio: Handles the phone number and the call itself.
  3. Make: Connects the two, letting them talk to each other seamlessly.

Think about it: A client has an urgent issue – say, with their social media campaign – while you’re at your kid’s school play.

They call, leave the details, and a ticket automatically gets raised inside ClickUp, assigned, and prioritised straight away.

Problem captured. Stress totally reduced.

This is exactly what I mean when I talk about Systemic Freedom.

It’s about building systems that handle the load, make sure opportunities aren’t missed, and let you focus on what’s important.

ClickUp is powerful, and it’s not just for tracking tasks. It can become the true hub for your operations – handling inputs from calls, forms, emails, you name it.

It’s about making your business serve your life, not the other way around.

So, if you’re ready to stop worrying about missed calls, missed leads, and missed opportunities, and you want to start building more freedom into your operations…

The Productive Dad Hi Reader 👋 Hope you're having an amazing Thursday! If you’ve ever tried to get your team to use time tracking in ClickUp, you know it’s a pain in the butt. People forget to start the timer, leave it running for hours, or just skip it altogether. And when you’re working with clients, you need a quick way to see how long things actually take, without chasing your team for timesheets. That’s why I put together this quick video to show a simple ClickUp dashboard that lets you...

The Productive Dad Read this post online here. Hi Reader 👋 Hope you're having an amazing Thursday! Data entry is one of those jobs that drains your energy fast. ClickUp is for creativity. Don’t agree? Today, I’ve loaded up a new project in ClickUp to organise my music composition process for the first time. This is a bit of an experiment for me. I’ve always used ClickUp for consulting, client work, and the usual project management stuff, but never for something as creative as writing music. I used to write a lot of music before my daughter was born. You can check out the full playlist here. I’m genuinely excited to see how a project management...
