You know when youâve just finished working on your business and youâre heading out to the pub â but youâve got this nagging feeling in the back of your mind? Youâre worried that a really important client call or a hot new lead might come in⌠But thereâs nobody in your business to pick it up! So it rings, goes to a generic voicemail, and then you just hope that somebody remembers to follow up tomorrow. But hope isnât a good strategy, especially when youâre trying to juggle lots of clients, manage multiple projects, and actually have a life outside of work. As a dad running a business, I know this feeling well (I like to go to the pub no matter what the health gurus on đ say). You want to be present for your family while making sure the business doesnât stall and your clients stay happy. We need systems that work for us, even when weâre not actively working. So, what if those out-of-hours calls didnât just go to some random voicemail and get lost in the void? Picture this instead (itâs a much better scenario):
No more calls lost on someoneâs personal mobile voicemail. No more hoping the message gets passed on. No more potential revenue slipping through the cracks. This isnât some crazy complex AI system (though those do exist). Itâs a smart, efficient bridge using tools you might already know, or that can be easily implemented (often with a bit of help đ):
Think about it: A client has an urgent issue â say, with their social media campaign â while youâre at your kidâs school play. They call, leave the details, and a ticket automatically gets raised inside ClickUp, assigned, and prioritised straight away. Problem captured. Stress totally reduced. This is exactly what I mean when I talk about Systemic Freedom. Itâs about building systems that handle the load, make sure opportunities arenât missed, and let you focus on whatâs important. ClickUp is powerful, and itâs not just for tracking tasks. It can become the true hub for your operations â handling inputs from calls, forms, emails, you name it. Itâs about making your business serve your life, not the other way around. So, if youâre ready to stop worrying about missed calls, missed leads, and missed opportunities, and you want to start building more freedom into your operations⌠Reply to this email, or click below to book a free call with me, and letâs see what we can do for you. âSchedule your free callâ Cheers đť |
Helping you save time and find clarity through productivity tools and workflows đ
Read the longer online version of this week's newsletter here. I've been playing with ClickUp AI a lot lately and discovered some really useful things that it can do. I'll talk about AI agents in a future issue (check out a preview of the work on LinkedIn). But today I want to give you a prompt that saved me hours last week. If you're managing multiple clients in ClickUp, you need a quick way to get an overview of each one. Usually this involves delving into the tasks, seeing what meetings...
I was testing out a new camera this week and thought it was the perfect chance to share a little automation for agency and business owners who live in ClickUp. You need a space for your team to collaborate, revise, and handle all the internal back-and-forth. But you want your client's view to be clean, simple, and professional. They don't need them seeing your internal notes of, "ergh why are they asking for another revision!?" This quick automation creates a perfect separation between your...
So yeah, weâre all chasing that same dream. Having one app to rule them all. A single, perfect system where our tasks, projects, and all our awesome ideas can live and work together in perfect harmony. But what if that dream is actually a trap? What if putting everything in one bucket, especially a project management tool like ClickUp (which I love), is quietly sabotaging your most valuable asset? That asset is your thinking. This is why I practice something I call The âSecond Brainâ Split....
