You know whatâs funny about working from home? You forget what real humans actually look like. Last night, I ventured out from my garden office and went to an in-person networking event. It was at the hotel I used to work at when I was 18. I spent the evening awkwardly inserting myself into different conversations. You know, trying to relearn how to socialise after spending too much time just hanging out with the dog. Thatâs where I met Andy. He was a computer repair business owner who actually used ClickUp! Iâm not used to running into a ClickUp user in the wild. Hereâs what I found interesting. Whether youâre a big company or a solo entrepreneur like Andy, everyone seems to have the exact same question when it comes to ClickUp: âHow the hell do I structure this thing?â People grab ClickUp thinking itâs going to be the tool that will help them straight away. Just install it, apply a template, and boom, productivity is done! It just doesnât work like that. The Three-Space SolutionAfter years of building systems for clients and myself, hereâs a simple structure that actually works. Feel free to build on top of it depending on your workflows. (shout out to ZenPilot for the original structure) 1. Growth Space
2. Delivery Space
3. Operations Space
Pro tip: Organise your ClickUp Docs by attaching them to tasks in a Docs list. Itâs like Notion then, with custom tags for organisation. If youâre losing track of client work or just feeling that your business is running you (instead of the other way around), structure isnât just nice to have. Itâs essential. The right structure means:
Once youâve got this structure in place, your mornings become stupidly simple:
Meeting Andy reminded me that weâre all fighting the same battle with work. The tools arenât the solution, but the structure is a big part of it. Also, this is a reminder that I need to get out more and talk to real humans. P.S.If youâre struggling with your ClickUp setup, youâre not alone. Hit reply and let me know your biggest ClickUp headache. I love hearing these stories (and maybe I can help). |

Read the longer online version of this week's newsletter here. I've been playing with ClickUp AI a lot lately and discovered some really useful things that it can do. I'll talk about AI agents in a future issue (check out a preview of the work on LinkedIn). But today I want to give you a prompt that saved me hours last week. If you're managing multiple clients in ClickUp, you need a quick way to get an overview of each one. Usually this involves delving into the tasks, seeing what meetings...
I was testing out a new camera this week and thought it was the perfect chance to share a little automation for agency and business owners who live in ClickUp. You need a space for your team to collaborate, revise, and handle all the internal back-and-forth. But you want your client's view to be clean, simple, and professional. They don't need them seeing your internal notes of, "ergh why are they asking for another revision!?" This quick automation creates a perfect separation between your...
So yeah, weâre all chasing that same dream. Having one app to rule them all. A single, perfect system where our tasks, projects, and all our awesome ideas can live and work together in perfect harmony. But what if that dream is actually a trap? What if putting everything in one bucket, especially a project management tool like ClickUp (which I love), is quietly sabotaging your most valuable asset? That asset is your thinking. This is why I practice something I call The âSecond Brainâ Split....
